Hospitality software for pubs, inns and hotels
Save time.
Save money.
British software for British hospitality
Know your prices. Keep GP current. Push it to the till — while you run the pub. You do not have to become a bookkeeper. The software gives you the answers so you look and operate professionally.
Invoices in from an email folder it sets up, an upload, Dropbox or Google Drive, or the inbox you already use. It really is that simple. Heating, paperwork, rooms, and the rest sit alongside.

Flagship · Invoicing suite
Know your prices. Keep GP current. Stay profitable — without becoming a bookkeeper.
Invoices in — an email folder it sets up, an upload, Dropbox or Google Drive, or the inbox you already use. Lines coded. Prices you can trust. GP kept current. Till updated. You stay on the floor.
It saves thousands of pounds a month in bookkeeping and analysis. It gives you the answers so you can be confident — and profitable.
It really is that simple
- An email folder it sets up. Feed invoices into a folder it creates. It reads them from there.
- Upload. Upload an invoice when it arrives.
- Dropbox or Google Drive. Point it at a folder where invoices are already saved.
- Your email. It reads email folders and extracts the invoices from there.
- Confidence in the prices you set — then those prices go to the till.
- GP percentages stay up to date even when you are busy.
- See, simply, whether you are making or losing money.

The money you are heating
Empty rooms should not be on full heat. That bill is colossal.
Occupancy from the booking system drives Hive, room thermostats, or radiator controllers.
- Stop heating vacant bedrooms like a sold night.
- Checkout goes to frost — not last night’s setpoint, forgotten until Monday.
- The breakfast room stays off when the house is empty.

How you buy
Modular. Monthly direct debit. Recurring.
Every product is a module, billed monthly by UK direct debit. Start with one — invoicing, heating, payroll, or another — then bolt the next on when you need it. Plans are recurring, with plenty of room as we keep improving the suite. When the whole system is improved, your location updates with it. You are not stuck on an old install.
Start with one module
Most operators begin with invoicing — prices, GP, and the till — or with the one job that is hurting this month.
Bolt on another
Heating, payroll, rooms, paperwork, scan filing, contractors — add when it earns its place. Extra modules are discounted the more of the suite you run.
Monthly direct debit
Plans are modular and recurring. Pay monthly by UK direct debit for what you use.
Improves over time
When we improve the whole system, your location updates with it. We can get you set up. Cloud-based, so you are not stuck on an old install.
Who it is for
For people who run pubs — and the rest of hospitality.
Busy on the floor
You are tapping barrels, not sitting in accounts. Varlo gives you the answers — so you can set prices and run the house with confidence.
Want to look professional
GP, till prices, and a simple picture of whether you are making or losing money. You stay running the pub. The software does the analysis.
One site or a group
Independents, small chains, and larger groups. Same products. Same answers. British software for British hospitality.

Add what the week still needs
Invoicing is the usual start. Heating is the energy save. These sit alongside — pay for one, add another, volume discount on extras.
Ops & compliance
Daily paperwork system
The manager on site fills daily paperwork on an app — cash in the till, card payments, and the rest of the day. At the end of the week it goes to the owner. Those entries are then ready to export straight into the accounting software.
The manager fills the day. The week goes to the owner. The books are already waiting.
Filing & admin
Scan filing
Watches phone scans and printer scans, reads them, names them properly, and files them into the right folders on Google Drive or Dropbox.
Stop renaming Scan0124 and hunting for Tuesday’s delivery note.
Works & pay
Contractors & contracts
A hospitality bolt-on: track trades you hire for the pub or hotel — what you need to pay them, how much, and what has already been paid.
Saturday’s pay run is a list — not a reconstruction.
Rooms & maintenance
Rooms & housekeeping
Cleaners see bed configurations for each room, report maintenance, and take photos that go to management and stay on the log.
Wrong beds and forgotten drips cost more than a photo on the day.
People & pay
Staff payroll
Pull hours from the timesheets or accounts tools you already use, get them into Xero, approve the run, then export a bank file for group payment.
The payroll afternoon becomes a check-and-send.
About us
Hospitality operators who build for hospitality operators.
We own and run pubs. We build software for people who do the same — not a generic software house looking in from outside. We have always been in spreadsheets, programming, and building the thing that actually works.
Varlo is a British business, supporting British hospitality. Pubs, hotels, restaurants, B&Bs — operators who are busy running the house. We build around the tools those businesses already use: Xero, VAT. The software can travel; the company is British, and so is who we built it for.
The invoicing suite is the flagship: it saves thousands of pounds a month in bookkeeping and analysis, gives you confidence in the prices you set, feeds them to the till, and keeps GP current — even when you are busy.
More about us →How we work
We can make anything you need in hospitality
The products on this site are what we already run. They are not a fence. If you need something else for a pub, hotel, restaurant, or group, we can make it.
The best start is simple: we meet on your site, run through how you work, have a chat, then we suggest everything that will save you time — and we talk about what it costs.
The software is cloud-based. We can get you set up. After that it is recurring monthly, and when we improve the whole system, your location updates with it.
Meet on site
Walk the venue, see the week as it actually runs, then we recommend what to put in first.
Talk or Zoom
If a visit is a stretch, we do the same conversation on a call and show the products on screen.
Trial online
We plan to offer login details for 48 hours so you can see how it works — a cloud login. Existing pubs can browse the systems already running.
Just sign up
Fill in the form. We will still talk before anything goes live.
