Trial guide

Your paperwork trial

The manager fills the day on the phone. At the end of the week it goes to the owner. The same figures are then ready for the accounts.

How the week runs

  1. 1. Sign in

Open varlo.co.uk/try and use the username and password in your welcome email. The address bar stays on varlo.co.uk.

  2. 2. The manager fills the day

Cash in the till, card payments, and the rest of the close go in on site, on the day. Each saved day sits in the week.

  3. 3. The week goes to the owner

When the manager submits the week, the owner gets an email. The owner signs in, reads the pack, and approves it.

  4. 4. The trial has a last day

The welcome email names that day. After it, the login says the trial has ended.

Questions

Where do we sign in?

https://varlo.co.uk/try. The manager and the owner have different usernames. Both are in the welcome email.

Does the owner have to be on site?

No. The manager fills the day on site. The submitted week is emailed to the owner, who can approve it from anywhere.

What happens when the trial ends?

The login says the trial has ended. Speak to Varlo if you want to carry on. Your weeks stay in that trial’s own book.

Is the trial a charge?

No. A monthly direct debit is agreed later, for the modules you actually run, before anything goes live.

Can the till, the cards, and the emails match our house?

Yes. The trial starts from a standard book so you can use it today. The list below is what we shape for a live site.

Pricing

A wet-led pub, a rooms inn, and a restaurant with a small kitchen do not start in the same place. We recommend the modules that will save you time, then we agree a monthly cost for what you actually run.

The trial is not a charge. When you want to keep it, we agree a monthly UK direct debit for the modules you use. Extra modules cost less the more of the suite you run.

How pricing is agreed

What we can shape for the house

The trial is a working book you can fill today. A live site is then set up around how that house already counts the week.

  • As many card terminals as you have

Each terminal can have its own name. A house with three machines is not forced into one card total.

  • The terminal feeds the day

Card totals can come in from the terminal, so the manager is not typing the same figure twice.

  • The till float you actually count

The float is set to the amount left in the till, not a number from someone else’s house.

  • Notes and coins that match the drawer

The cash count follows the notes and coins you use.

  • Paid-outs and petty cash

Money taken out of the till for the house can sit on the day, with a reason.

  • Tips and service charge

Tips and service can stay off the takings, so the week the owner sees is the trade.

  • Safe drops and banking

What left the till for the safe, and what was banked, can be part of the close.

  • More than one till or bar

A second bar, a restaurant till, or a hotel desk can be its own count inside the same week.

  • The day your week ends

Sunday, Monday, or whenever you already close the books.

  • Food and drink the way you report them

Wet and dry, or food and drink, split the way the house already talks about the week.

  • Rooms as well as the bar

A pub with rooms can keep room takings on the same week as the bar.

  • Who gets the emails

The submitted week goes to the owner addresses you choose. The approval note goes to the manager.

  • The name on the screen

Staff see the business name, not a generic trial.

  • Ready for the accounts you already use

After the owner approves the week, the same figures can export into the accounting software, including Xero.

  • Another site, another book

A second pub or restaurant gets its own trial, so the weeks never mix.
